MyAccountant is operated by App-Raiser Digital ("we", "us", "our"). Our service is available at app.myaccountant.cc. We are the data controller for personal data collected through this service.

2What Data We Collect
Account data
- Company name and email address provided on registration.
- VAT number and company details entered in Settings.
- Business profile description entered in Settings.
- WhatsApp number registered for document intake.
Invoice and financial data
- Invoice documents (PDFs and images) uploaded to the service.
- Extracted invoice data: supplier name, invoice date, amounts, VAT rate, VAT amount, expense type.
- Foreign currency and exchange rate data associated with invoices.
- Sales invoice data entered via Invoice Out.
Usage data
- Login activity and session data.
- Actions taken within the app (uploads, approvals, report generation).
- Cato AI assistant conversation logs (where applicable).
Billing data
Payment and billing information is handled directly by Stripe. We do not store card numbers or banking details. We receive and store subscription status, plan type, and billing dates from Stripe.
3How We Use Your Data
- To provide the invoice processing, VAT return, and reporting features of the service.
- To operate the Cato AI assistant, including using your business profile to personalise responses.
- To process payments and manage your subscription via Stripe.
- To send transactional emails (invoice confirmations, report notifications, subscription alerts).
- To detect duplicate invoices and prevent processing errors.
- To improve the accuracy of AI extraction over time (aggregated and anonymised).
- To comply with our legal obligations.
4AI Processing
Invoice documents you upload are sent to Anthropic's Claude API for data extraction. Anthropic processes these documents solely to perform the extraction task and does not use your data to train its models. Anthropic's privacy policy applies to this processing: anthropic.com/privacy.
The Cato AI assistant also uses the Anthropic Claude API. Conversations with Cato are processed in real time and are not used for model training.
5Third Parties We Share Data With
- Anthropic (Claude API): invoice documents and Cato conversations for AI processing.
- Stripe: billing and subscription management.
- Mailgun: transactional email delivery.
- Twilio: WhatsApp document intake.
- Vultr: cloud hosting and data storage (Amsterdam, EU).
- ExchangeRate-API: foreign currency conversion rates.
- Xero / Sage Business Cloud: if you connect these integrations, invoice data is shared with the respective platform under your authorisation.
6Data Storage and Security
Your data is stored on Vultr servers located in Amsterdam, within the European Union. We use SSL/TLS encryption for all data in transit. Passwords are hashed and never stored in plain text. Access to the database is restricted to authorised personnel only.
We maintain daily automated backups and weekly server snapshots.
7Data Retention
We retain your account data and invoice records for as long as your account is active. If you cancel your account, we will retain your data for 90 days to allow for reactivation, after which it will be permanently deleted upon request.
Stripe billing records are retained as required by applicable financial regulations.
8Your Rights (GDPR)
As a data subject under GDPR, you have the following rights:
- Right of access - you may request a copy of the personal data we hold about you.
- Right to rectification - you may request correction of inaccurate data.
- Right to erasure - you may request deletion of your data, subject to legal retention requirements.
- Right to portability - you may request your data in a structured, machine-readable format.
- Right to object - you may object to certain types of processing.
- Right to restrict processing - you may request that we limit how we use your data.

9Cookies
We use a session cookie to keep you logged in. We do not use advertising or tracking cookies. We do not use third-party analytics cookies.
10Changes to This Policy
We may update this policy from time to time. We will notify registered users by email if any material changes are made. The current version is always available at app.myaccountant.cc/privacy.
